1.  ABOUT CARIBBEAN EXPORT 

The Caribbean Export Development Agency (Caribbean Export) is the premier trade and investment promotion agency of the CARIFORUM region. Mandated to drive sustainable economic growth across its 15 Member States, the Agency designs and implements a wide range of programmes, activities, and events — including trade missions, business clinics, capacity-building workshops, sector-specific forums, export readiness seminars, and investment facilitation events. 

These activities take place across the CARIFORUM region, spanning both the English- and Dutch-speaking Caribbean. Capturing the energy, impact, and stories generated during these engagements is central to Caribbean Export’s communications strategy and its mandate to demonstrate visible, on-the-ground results for the private sector. 

2.  PURPOSE OF THIS EXPRESSION OF INTEREST 

Caribbean Export is building a regional roster of skilled local content creators who can provide professional photo and video support during Agency activities and events across the CARIFORUM Member States. 

Rather than relying solely on travelling staff to capture content, the Agency wishes to engage local talent with knowledge of their country’s culture, context, and environment. Content creators selected for the roster will be contacted on an as-needed basis whenever the Agency schedules activities in their respective country or territory. 

This EOI is not a guarantee of engagement. Being included on the roster means the Agency will reach out to you when relevant activities are planned in your location. Engagements will be confirmed individually, with agreed deliverables, timelines, and fees communicated at the time of each assignment. 

3.  SCOPE OF WORK 

3.1  Overview 

Successful applicants will work directly with the Caribbean Export Communications team to capture compelling, high-quality content during events and activities. This content will be used across the Agency’s official social media channels, website, newsletters, and related digital platforms. 

3.2  Content Types 

A.  Micro-Video Production 

Micro-videos are short-form video content optimised for social media consumption. Content creators will be expected to shoot, and where required, perform basic editing of short videos that capture the atmosphere, key moments, and human stories from Caribbean Export events. 

Micro-video deliverables will typically include: 

  • Event highlight reels (60–90 seconds) suitable for Instagram Reels, Facebook, LinkedIn, and YouTube Shorts 
  • Behind-the-scenes clips showcasing event preparation, participant interactions, and on-the-ground atmosphere (15–30 seconds) 
  • Participant or stakeholder testimonials — brief, authentic, unscripted interviews (30–60 seconds) capturing perspectives, outcomes, and reactions 
  • Real-time story content for Instagram/Facebook Stories (vertical format, 9:16 aspect ratio) 
  • “Day in the life” activity recaps suitable for LinkedIn and Facebook 

Technical requirements for video content: 

  • Minimum resolution: 1080p (Full HD); 4K preferred where equipment allows 
  • Formats: MP4 (H.264 or H.265 codec) 
  • Horizontal (16:9) and vertical (9:16) orientations as required 
  • Stable footage — use of a gimbal or stabiliser is encouraged 
  • Good ambient audio capture; external microphone preferred for interviews 
  • Longer edits (highlight reels) to be delivered within 48–72 hours of the event 

B.  Event Photography 

Photography should be dynamic, authentic, and communications-ready — capturing the human dimension of each event: engagement, collaboration, and impact. Images must be of sufficient quality for both digital and print use. 

Photography deliverables will typically include: 

  • Wide, medium, and close-up shots covering all key event sessions, panels, and presentations 
  • Candid shots of participant engagement, networking, and interaction 
  • Speaker and panellist portraits (environmental and posed) 
  • Group photographs of delegations, participants, and organising teams 
  • Detail shots of branding, materials, and event signage 
  • Venue and contextual shots establishing a sense of place and locality 

Technical requirements for photography: 

  • Minimum: DSLR or mirrorless camera with interchangeable lens capability 
  • Minimum image resolution: 20 megapixels 
  • Deliverables: high-resolution JPEGs (minimum 300dpi), lightly colour-corrected 
  • A curated, edited gallery of the best images delivered within 24–48 hours of the event 
  • Full unedited RAW files to be retained and available upon request 
  • Images must not be watermarked 

3.3  Collaboration with the Communications Team 

Content creators will work closely with Caribbean Export’s Communications team throughout each assignment. This collaboration will include: 

  • Pre-event briefing on key messages, priority sessions, and social media objectives for the specific event 
  • Real-time guidance during the event on priority shots and emerging content opportunities 
  • Submission of content via agreed platforms or channels (e.g. shared cloud folder, WeTransfer) 
  • Captioning and basic metadata support — providing names, context, and event details to accompany images and videos 
  • Willingness to share selected raw or lightly edited content for same-day story posting, where applicable 
  • Participation in a brief post-event debrief to review content and note improvements for future engagements

5.  ELIGIBILITY & REQUIRED QUALIFICATIONS 

Applications are open to individual freelance content creators, small creative studios, and sole traders based in any of the 15 CARIFORUM Member States. Applicants must demonstrate the following: 

5.1  Essential Requirements 

  • Based in one or more CARIFORUM Member State(s) and able to be physically present at events within that country or territory  
  • Demonstrable professional experience in event photography and/or video production for social media and digital platforms  
  • A strong portfolio showcasing relevant work, particularly event coverage, documentary, commercial, or short-form digital content  
  • Strong understanding of major social media platforms (Instagram, Facebook, LinkedIn, YouTube), including current trends, platform best practices, and audience engagement strategies  
  • Demonstrated ability to conceptualise, shoot, and edit high-quality short-form video content for social media platforms, including reels, highlight clips, testimonials, and story content  
  • Proficiency in video editing tools such as Adobe Premiere Pro, CapCut, Final Cut Pro, or equivalent mobile and desktop editing software  
  • Excellent written, verbal, and interpersonal communication skills, with strong attention to detail, creativity, and professionalism  
  • Ability to work effectively in fast-paced event environments while managing multiple priorities and delivering high-quality content under tight timelines  
  • Ability to deliver content within agreed deadlines, including same-day turnaround for story content where required  
  • Access to professional-grade camera equipment suitable for both photography and video production  
  • Reliable internet access for timely content transfer and communication 

5.2  Desirable (Not Required) 

  • Existing familiarity with trade, investment, development, or private sector subject matter 
  • Bilingual capability (English/Spanish, English/French, English/Dutch) — particularly valuable for Dominican Republic and Haiti-based creators 
  • Drone operation certification and equipment (a significant advantage for establishing shots and venue imagery) 
  • Experience working with regional or international development organisations 

6.  TERMS OF ENGAGEMENT 

The following terms will apply to content creators included on the Caribbean Export roster: 

  • Inclusion on the roster does not constitute a contract, guarantee of work, or employment relationship with Caribbean Export. 
  • Creators will be contacted on an assignment-by-assignment basis, with reasonable advance notice wherever possible. 
  • Specific deliverables, timelines, fees, and any applicable expenses will be agreed in writing prior to each engagement. 
  • All content produced during assignments will remain the property of Caribbean Export, with the Agency holding full rights to use, adapt, and disseminate content across its communications platforms without restriction. 
  • Credit to the content creator may be given where appropriate and agreed in advance, but is not guaranteed. 
  • Creators must not publish or share event content on their personal channels prior to Caribbean Export’s initial publication, unless explicitly authorised to do so. 
  • Creators are expected to maintain professional conduct and confidentiality in line with Caribbean Export’s policies. 
  • Fees and payment terms will be negotiated per assignment and will reflect the scope of work, deliverables, and local market rates. 
  • Caribbean Export reserves the right to remove any individual from the roster at its discretion. 

7.  WHAT TO INCLUDE IN YOUR APPLICATION 

Interested applicants should submit the following:

Including full name, country/territory, contact details, and a brief professional biography (maximum 200 words). 

  1. Portfolio of Work 

A link to your portfolio, showreel, or social media pages demonstrating previous event photography and/or video work. Please ensure links are publicly accessible. 

  1. Equipment List 

A brief description of your primary camera equipment, lenses, audio equipment, stabilisation, lighting, and editing software. 

  1. Content Specialisation 

Indicate whether you are applying as a photographer, videographer, or both, and any areas of specialisation (e.g. corporate events, documentary, portrait). 

  1. Two Professional References 

Names and contact details of two previous clients or professional contacts who can speak to the quality and reliability of your work. 

8.  SELECTION PROCESS 

All applications received by the deadline will be reviewed by the Caribbean Export Communications team. Shortlisted applicants may be contacted for a brief virtual interview or to provide additional examples of their work. 

Selection to the roster will be based on: 

  • Quality and relevance of portfolio work 
  • Equipment capability 
  • Experience in event or commercial content creation 
  • Geographic coverage and availability 
  • Professional references 

Applicants will be notified of the outcome of their application within 30 days of the submission deadline. Unsuccessful applicants may reapply in future rounds as the roster is refreshed periodically.
